Front Desk Coordinator
Our Client located in Toronto, is currently looking to fill a full time role for a Front Desk/Appointment Coordinator that will represent the dental practice in all facets of patient services, which may include, but is not limited to; greeting patients, answering the telephone, scheduling appointments, maintaining patient records and coordinating patient flow. RESPONSIBILITIES: Be punctual for work and all meetings. Prepare for your part in the morning huddle (according to the huddle checklist). Comply with Regulatory rules. Complete daily, weekly and monthly checklists as assigned by the general manager. Maintain record of all patient communication in the communication log. Present treatment plans to patients and finalize treatment acceptance. Greets visitors/patients entering and alerts appropriate staff of patient arrivals. Answers telephone, routes calls, provides information, and takes messages in accordance with practice procedures. Manages the daily, weekly, and monthly calendar to meet the practice production and collection goals. Establishes, maintains and keeps patient files and records up to date (i.e. address, phone number, insurance information, etc.). Use visuals during presentations (intraoral camera photos or x-rays). Review, enter and sequence treatment plans for patients. Suggest possible alternative treatment plans to patients (when necessary). Confirm patient’s alternative treatment plans with the Doctor's. Use DDS GP to discuss patient’s diagnosis and treatment benefits during presentation. Send all patients who do not immediately accept the full treatment plan home with visuals. Track incomplete treatment plans/follow up with these patients; maintain follow up system. Check out patients who need new treatment presented. Participate in estimating & collecting the patient portion due at time of service. Make adjustments to patient’s accounts. Accurately record treatment agreements, fees, insurance estimates, and discounts offered. Obtain patients' dental records from other offices. Prepare daily, weekly and monthly reports as directed. Ensure all patients leave practice with next visit scheduled. Maintain and report treatment plan tracker weekly & monthly. Make outbound reactivation calls. Track referral source for all customers. Collect and accurately record payments from patients. Make and document financial arrangements. Create in house dental payment plans. Verify insurance benefits daily for next day’s appointments. Enter insurance information. Return all patient billing, insurance, or financial arrangement calls within 24 hours. Communicates with patients regarding financial options. Reconciles financial records by receiving and recording patient payments. Call patients with declined credit cards and follow up with a statement if needed. Uses computer, fax, or courier service to transmit information or documents when requested.- email Performs necessary duties associated with checking patients in and out. Record treatment information in the patient’s chart. Enter type of treatment planned for the next appointment, and the amount of chair time, doctor time and assistant time needed. Adheres to all safety and health regulations. Registers new patients, provides necessary paperwork (welcome letter, HIPPA documents), and insures all required documents are completed by the patient. Does the back up for each day. Reboots server once per month. Does month end and close out. Order prescriptions as per dentist’s instruction by phone. Additional or different duties may be assigned occasionally at employer’s discretion.
